Automated follow-up

An automated follow-up is a message sent with no human involvement, at a time decided in advance, to a contact who has not replied: a quote with no answer after three days, an appointment to confirm the day before, a basket abandoned an hour earlier. You set it up once, and it runs on its own from then on.

Why it matters

Automated follow-up is what separates a business that wins one quote in two from a business that wins one in four, for exactly the same amount of work.

Why automate your follow-ups

Following up is the most profitable sales habit and the one least often done: we forget, we feel awkward, we run out of time. Automation removes all three obstacles. The message goes out at the right moment, with the contact's first name and the exact subject, whether you are on site, in a meeting or away on holiday.

The three follow-ups that pay off most

The quote with no reply: a short reminder after three days, a follow-up at ten days that offers a time slot, a final message at thirty days that leaves the door open. The appointment: a confirmation the day before, with the address and a way to cancel. The past customer: a message six months after the job, to check in and suggest what comes next. These three scenarios cover most of the work a small business loses.

How to write a follow-up that does not put people off

Short (three sentences), personalised (first name, quote, amount), useful (an answer, a time slot, an example), signed by a person, and spaced out: never two messages in the same week. A follow-up does not push, it reminds the customer that you are available.

The rules to respect

A follow-up goes to someone who contacted you first: their own enquiry is what makes it legitimate. Every email carries an unsubscribe link and a contact address. Practical examples

A kitchen quote sent on Monday: a reminder on Thursday, an offer of an appointment the following Monday, a last message a month later.

A massage booking: a confirmation the day before at 6pm, with the address and a link to move the appointment.

A customer whose job was delivered in March gets a message in September about maintenance or a new service.

How many follow-ups before you stop?

Three for a quote, spaced three, ten and thirty days apart. After that, silence is an answer.

Does an automated follow-up feel impersonal?

Not if it is short, uses the person's name and is signed. The customer does not know it is automated, they simply see a thoughtful message that arrived at the right time.

Which channel should you follow up on?

Email, for reasons of cost and consent. The phone for larger quotes, as a complement.
